With multiple Council boards and commissions, East Providence, Rhode Island, needed a document management and storage solution that could handle not only the usual reams of municipal information but also information that could be uniquely categorized and published for easy and quick retrieval. East Providence discovered that the solution is ClerkBase®, which also provides the city with a custom ClerkBase® header to match the city's new web site for a seamless transition to the document database.

Prior to integrating ClerkBase®, Pawtucket, Rhode Island, had a manual process of filing the city's document attachments (e.g., resolutions, communications, etc.) by subject matter reflected by a unique file number. Wanting to retain this useful system, Pawtucket customized its ClerkBase® software to recreate this unique feature. ClerkBase® uses XML to capture the file number and hence enable searches by subject matter via the city's tailored "expert search" feature. Pawtucket therefore was able to update its processes with web technology without overhauling the root of its working system.
